Overview

This system was built for CEOs who are tired of planning launches across 10 Google Docs, trying to remember what worked last time, and pulling reports from five places after it’s all over.

Whether they’re launching a webinar, a waitlist, a live challenge, or a live event, this build gives them one central hub — to plan, execute, and analyze before, during, and after launch.

Instead of starting from scratch every time, they press a button, select a launch type, and the entire plan populates — complete with tasks, timelines, creative strategy, and real-time performance metrics.

The Before

Before this system, my clients were:

Running each launch from scratch

Digging through past folders and Slack to find what worked

Manually assigning tasks one by one

Reviewing launch results weeks after the launch ended

Forgetting to track what they’d do differently next time

And the biggest problem? The CEO had no place to visualize or compare launches, which made decisions feel emotional — not strategic.

My Approach

In this walkthrough, I’ll show you how I built a repeatable Launch Hub inside Airtable — with task templates that change depending on launch type, automatic status tracking during launch week, and a real-time dashboard for data visibility. I’ll also break down why this works better than ClickUp or Notion for high-volume, multi-launch businesses, and how it saves the CEO hours per cycle.

LAUNCH PLANNING HUB

Launch strategy, task timelines, and content planning — all based on launch type.

When the client selects a launch type (webinar, challenge, waitlist, or live), Airtable uses record templates to populate all necessary tasks with pre-assigned dates based on their projected launch date. This ensures every launch starts with a full plan and timeline — no manual prep.

AUTOMATED STATUS & PERFORMANCE TRACKING

During the launch, the dashboard updates in real-time — showing what’s working, what’s not, and how close they are to goals.

Airtable Interfaces track things like enrollment numbers, opt-in rates, and platform-specific engagement, so the team can pivot without needing a meeting.

POST-LAUNCH REFLECTION & NEXT LAUNCH PREP

The system tracks what worked, what didn’t, and stores launch feedback for the next round.

Each launch includes a built-in debrief template that auto-triggers after the close date — with space to log insights, team feedback, and tweaks for future launches.

CENTRALIZED CREATIVE STRATEGY

No more guessing or asking "where’s the promo doc?”

Each launch links to a strategic content board for emails, social, ads, collabs, and creative — so every team member knows what’s going out and when.
